Position: Administrative Project Coordinator

Job Summary:

The Administrative Project Coordinator reporting to the Chief Information Officer (CIO) and Vice President, Programs and Policy will be accountable for the on-going support, project management and scheduling of business executives to ensure outcomes are achieved and efforts are in line with the overall vision/mission of the organization.

  • Work with CIO and VP Programs and Policy on Projects with research, scheduling meetings, coordinating project team members, and overall coordinating support.
  • Work with Executives to coordinate day-to-day tasks for assigned projects
  • Create and maintain project documents including meeting agendas, project plans, and meeting notes.
  • Conducts research, creates project reports and develops presentations.
  • Screens incoming calls, escalating critical issues appropriately.
  • Manages issues related to processes with minimal supervision.
  • Prepares executive summaries and reports by collecting, analyzing, and summarizing information.
  • Maintains Executives professional calendar in Microsoft Outlook and applies understanding of executive’s priorities in scheduling meetings.
  • Develop forms, tables and other data tools in the applications that capture, report and consolidate data.
  • Organizes the details of special events, travel arrangements, corporate agendas and itinerates for the CIO and VP, Programs and Policy
Requirements:
  • 5 years’ experience in project management.
  • Advanced proficiency in Microsoft Office Suite.
  • Advanced proficiency with maintaining project plans.
  • Typing proficiency of 60 wpm with 95% accuracy.
  • Strong communication (both written and verbal) and interpersonal skills.
  • Ability to multi-task and prioritize a diversified workload, meeting established deadlines with minimal supervision.
